Meetings are an essential part of the life of every organisation. But how often have you attended meetings that you feel go on for too long, are dominated by one or two people, and do not appear to lead to anything?

This (pilot) workshop is for anyone working in the voluntary and community sector (including social enterprises) looking to improve their confidence in organising/participating in effective meetings. We will identify why meetings matter, what makes a meeting feel worthwhile, and tools that you and your colleagues can use to make a meeting more productive.

By the end of the session, you will be able to organise, contribute to and sustain meetings that clearly identify and achieve their aims.

Who should attend?
This course is suitable for trustee, director, staff member or volunteer who has to attend meetings, and would like to help make them more effective.

Course content:

Planning the meeting:

  • Aim of the meeting
  • Admin arrangement
  • Role of Chair etc
  • Location
  • Developing the agenda
  • Sending out papers

Prep for the meeting:

  • Personal responsibilities
  • Background info
  • 'Pre' meetings
  • Preparing to present

The meeting:

  • Intros
  • Groundrules/time keeping
  • Chairing
  • Body language and active listening
  • Dealing with challenging behaviour
  • Keeping on track
  • Agreeing to act/assigning tasks and timescales
  • Minutes: taking/typing/Chair's approval
  • Following up.

Outcomes
On completion of this workshop participants will be able to:   

  • Learn how to organise an effective meeting
  • Understand their responsibilities in achieving successful meetings
  • Ensure that the meeting achieves its intended outcomes
  • Understand the importance of follow up and reporting back
  • Identify ways of implementing positive changes to meetings
